Otemlearn – Terms and Conditions

Welcome to Otemlearn. Please read these terms carefully. By using our services, you agree to the following terms and conditions.

1. Account Creation and Primary Admin

• When a new client account is created, one user account is automatically created as the Primary Admin.
• There can only be one Primary Admin per client account.
• The Primary Admin has full administrative control over the organization account.
• The Primary Admin can create and delete other admin accounts.
• The Primary Admin is the only user allowed to manage billing and cancel the subscription.

2. Account Types and Roles

• Primary Admin: Full control over admins, billing, and subscription management.
• Admin: Can manage students and normal system functions but cannot cancel subscriptions or remove the Primary Admin.
• Student: Has limited access to learning features and may manage their own account where permitted.

3. Subscription, Free Trial and Cancellation Policy

• All client accounts begin with a 15-day free trial.
• If cancellation is made before the end of the 15-day trial period, no charges will be applied.
• If the subscription is not cancelled before the end of the trial, monthly billing will begin automatically.
• If cancellation is made after billing has started, the subscription will remain active until the end of the current billing period.
• No further charges will be collected after the active billing period ends.

4. Plan Limits

• The Basic plan includes a limited number of admins and students.
• Exceeding these limits may require a one-off payment or an upgrade to a premium plan when available.
• Limits help ensure fair use of the system and system performance.

5. User Actions and Audit Logs

• All actions by admins are logged.
• Audit logs are used for accountability and troubleshooting.
• Primary Admins and the platform owner may view full activity logs.

6. Responsibilities

• Admins are responsible for managing their student accounts appropriately.
• The Primary Admin is responsible for subscription management and billing decisions.
• Clients are responsible for maintaining the security of their login credentials.

7. Customization and Additional Services

• Requests for custom features outside the standard plan may incur one-off fees.
• Clients must approve payment before any custom work is implemented.

8. Data Privacy

• We respect your data and comply with applicable data protection laws.
• User activity tracking is used solely for accountability and system integrity.

9. Changes to Terms

• Otemlearn may update these terms from time to time.
• Continued use of the platform constitutes acceptance of the updated terms.
